KCC Activity Update - COVID19

The below email was sent from Jason Patrie (MASN) on April 10, 2020 regarding KCC activity change due to COVID-19 school closures.

Greeting,
 
We know this is a very challenging and uncertain time for all of you, we appreciate all that you are doing. Many of you have asked about Kids Care Center (KCC) data entry during this different programming time. So we have created a new activity to easily capture the valuable services you are providing during this difficult time. You will now find a new KCC activity in each of your sites called COVID-19 Activity.  This COVID-19 activity may be used to capture attendance for all types of programming being provided (i.e. meals, virtual programming, emergency care, etc.) during the pandemic. We realize you may be very short-staffed during this time, or perhaps you have no services or programming taking place, so we made this as simple as possible for you.  With this one simple activity you can record COVID-19 activities/programming in one single activity.
 
What has been created:
  • The COVID-19 activity has been added into all KCC sites (21st CCLC and SAC) regardless of whether programming is occurring or not.
  • The COVID-19 activity has been scheduled for you based upon your site schedule.  You may alter this as necessary to fit your current activity level.
  • The COVID-19 activity has been populated with your current  roster. 
 
If you ARE providing services, what to do:
  • Use this new COVID-19 activity and take attendance for this one COVID-19 activity (the same as you would have during the normal school year). Or, you may continue to take attendance by your activities as you have been.
  • If you would prefer, you can edit the description box for the COVID-19 activity to list what you provided, when or anything else you’d like to note for your program’s record keeping purpose. Note: you will have to leave the first line as it currently is, but you can add to that with your information. Optional.
  • We realize you may not be serving all of the enrollees. In those cases, you may either:
    • Simply not record attendance for those students not participating, or
    • Remove those students from the COVID-19 activity roster
·         For all activities provided PRIOR TO the COVID-19 school closures, attendance must be entered on or before July 15 for 2019-20 student attendance up until the time the physically located program site was closed due to COVID-19.
 
If you are NOT providing services, what to do:
  • Do nothing with this COVID-19 activity.
  • If no attendance is taken for this COVID-19 activity, DESE will be informed that the program/site was not providing services during the COVID-19 school closure period.
·         For all activities provided PRIOR TO the COVID-19 school closures, attendance must be entered on or before July 15 for 2019-20 student attendance up until the time the physically located program site was closed due to COVID-19.
 
Notes:
  • Attendance percentages will not be calculated for this COVID-19 activity.
  • DESE recognizes attendance numbers will look different due to the COVID-19 school closures and will not penalize programs as a result.
